Credit card processing software

Credit card processing software, set up right.

“Credit card processing software” is the layer where a payment actually runs: the virtual terminal you key a card into, the gateway behind your website, the invoicing tool that emails a pay link, the POS software on the counter. The hardware and the rate matter, but the software is where the work happens. We set up the right one for how you get paid, on a properly negotiated account.

The three layers of taking a card

Every card payment has three parts, and people mix them up. The hardware is the terminal or reader. The merchant account is where the money settles and where the rate lives. The software is the layer in between — where you actually enter or accept the payment. When someone searches for “credit card processing software,” this middle layer is usually what they mean: a virtual terminal, a gateway, an invoicing tool or the POS app on the counter.

Getting the software right matters because it decides what you can do — take a phone order, send an invoice with a pay link, run recurring billing, sync to your books. But the software does not set your price. That is why we set the software up and bid the account underneath it in the same motion.

Which software fits which business

If you key in phone orders or bill by invoice, a virtual terminal and invoicing tool are the core — Payments Hub, SwipeSimple or ProCharge, depending on your account and whether you need a QuickBooks sync. If your sales happen online, you need a gateway wired to your website or platform. If you ring sales up at a counter, the POS software is your processing software, and the right one depends on your industry. Most businesses run two of these at once, and they can share one negotiated account.

We match the tool to the job, set it up, and train your staff. Then we stay on as the local team that answers when something needs changing — not a support ticket in another time zone.

What to look for — and what to avoid

Look for transparent pricing on the account underneath, a security model that keeps card data out of your own systems, the integrations you actually use (QuickBooks, your website platform, your POS), and clear reporting. Avoid software that only works on one processor's locked-in flat rate, long contracts with early-termination fees, and “free” tools that quietly ride a marked-up rate. The tool can be excellent and still cost you every month if nobody negotiated the processing behind it.

Fair questions

What is credit card processing software?

It is the application that captures a card payment and sends it for authorization: a virtual terminal for keyed and phone orders, a gateway for a website or app, invoicing software that sends a pay link, or the POS software running your register. It sits on top of a merchant account — the software runs the sale; the account and its rate determine what the sale costs.

Do I need special software, or does my POS already do it?

Most modern POS systems include processing software, and many can connect to a negotiated account rather than a locked-in flat rate. Where a POS does not fit — phone orders, a website, field work, recurring invoices — we add the right tool alongside it. We check what you already run before adding anything.

What software do you set up?

For card-not-present and invoicing we use Payments Hub, SwipeSimple and ProCharge; for e-commerce we set up the gateway your site or platform supports; for the counter we spec the POS software that fits your business. The right pick depends on how you take payments and what you need to sync — see our virtual terminal and POS pages.

Does it sync with QuickBooks?

Yes, for the tools that support it. ProCharge and several POS systems post paid transactions to QuickBooks Online on their own, so keyed and counter sales reconcile without double entry. We set the sync up as part of onboarding.

Is the software PCI compliant?

The platforms we set up are built to the card-industry security standard, and we configure them to keep card data out of your systems (tokenization, hosted fields). We also walk you through your own PCI questionnaire so the non-compliance fee comes off your statement — see PCI compliance.

Does the software decide my rate?

No. The software runs the transaction; your merchant account and its pricing decide the cost. That is the piece most owners never negotiate. We bid the processing behind whatever software you use, so a good tool is not quietly sitting on a bad rate — see how we read your statement.
